Two documents, both from your bank, both about the same account, and they answer different questions.

A bank statement says what happened. A bank certificate says what is true right now, and says it under the bank’s signature.

Institutions are usually specific about which one they want, and people usually send the wrong one, because a statement is free and instant and a certificate is neither.

The difference in one view

The certificate's value is the signature. The statement's value is the detail.

What a certificate actually contains

Wording varies by bank and by country, but the standard set is short:

  • The account holder’s full name, and sometimes their identity document number
  • The account number, often partially masked
  • The account type and the currency
  • The date the account was opened
  • The balance on a stated date, in figures and in words
  • A statement that the account is in good standing
  • The date of issue, an officer’s signature, and the bank’s stamp

What it does not contain is any transaction. That is the point. A certificate is designed to disclose a position without disclosing behaviour, which is exactly why some institutions prefer it and why others refuse it.

Read the exact wording of the request before you act. “A letter from your bank confirming your balance” is a certificate. “Your last three bank statements” is not, and no certificate will substitute for it.

Names for the same thing

The document goes under several names, which is part of why the request is often unclear:

  • Bank certificate or bank certification letter, standard in the Philippines, India, much of Latin America and southern Europe
  • Balance certificate or bank balance confirmation
  • Proof of funds letter, the usual US and UK phrasing, especially in property purchases
  • Bank reference letter, which sometimes adds a comment on the customer relationship
  • Signature verification letter, a narrower version that confirms the signature on file

If the institution asking has named it something else again, describe what you need rather than the label: a signed letter from the bank confirming the account and its balance as at a given date.

How to get one

Most banks will accept the request through the app or online banking, filed under something like “documents”, “letters” or “certificates”. Branches will do it over the counter, and some will only do it that way.

Say what it is for. A bank preparing a certificate for a visa application writes it differently from one preparing a proof of funds for a property purchase, and getting the wrong wording means going back.

Expect a fee, roughly 5 to 30 dollars depending on the bank and the country, and one to five working days. Some banks issue an unsigned PDF instantly and a stamped original later, and some institutions will only accept the stamped original.

Certified copies, and proof of address

Two requests get confused with a certificate and are neither.

A certified bank statement is an ordinary statement that someone has stamped and signed to confirm it is a true copy of the original. Banks do it at a branch counter, and so do solicitors and notaries in most countries. It is asked for when the recipient wants a human to have vouched for the copy, typically in immigration and property matters. The document is your normal statement; the certification is the stamp on top of it.

A bank statement as proof of address is a different job again. Letting agents, employers and identity checks accept a recent statement because it carries your name and address as the bank holds them, and the bank verified those when the account was opened. The usual rules: issued within the last three months, showing the full address, and a paper original or a PDF downloaded straight from online banking rather than a photograph of a screen.

The one thing that gets rejected in that context is a statement you have edited to hide transactions. Every check that catches an altered document, from the arithmetic to the file metadata, applies here too, and having redacted your spending looks identical to having faked it.

When your statement will do

If the request is for evidence of a balance and nothing turns on the signature, a statement is faster, free, and carries more information. It also carries more information than you may want to share, which is worth a thought before sending six months of spending to a landlord who asked whether you can afford the rent.

If you need to send statements, you can convert them to a spreadsheet first and send a summary alongside, which reads better than a stack of PDFs. What you should not do is edit the PDF to remove rows: an altered statement fails the arithmetic checks that anyone verifying it is likely to run, and the failure looks worse than the transactions you were hiding.
