How to verify a bank statement

If you accept bank statements as proof of income, you will eventually be handed an edited one. The tools to alter a PDF cost nothing and take about a minute to learn, and the market for fabricated statements is large enough to advertise openly.
The good news is that most edits are bad edits, and six checks catch them. None of them require software you do not already have.
1. Walk the running balance
This is the one that finds most of them, and it takes a minute.
A statement is self-checking. Each row’s closing balance is the previous closing balance plus that row’s movement. Change any amount and the chain breaks from that row onward, so a forger has to re-derive every balance below the edit. Plenty do not bother.
You do not have to do this by hand. Convert the statement to a spreadsheet and put the check in a column, or use a converter that does it for you: ours walks the balance chain automatically and flags the rows that do not follow, which was built for confirming a conversion rather than a document, but the arithmetic is identical.
A break in the chain is not proof of fraud. Extracted statements sometimes break it too, when a row is misread. What it tells you is that this document needs a second look.
2. Cross-foot the totals
Page one carries a summary: opening balance, total paid in, total paid out, closing balance. Sum the transaction columns yourself and compare.
Forgers who fix the running balance often forget the summary box, because it sits somewhere else on the page and reads like decoration. It is the second most productive check on the list and it takes thirty seconds.
3. Read the PDF metadata
Every PDF records the software that produced it. Open the document properties (File, then Properties in most readers) and look at the Producer and Creator fields.

Metadata is easy to fake if you know it exists. Most people editing a statement do not.
4. Look at the typography
Banks generate statements from a template, so the type is mechanically consistent. Edits rarely are.
Zoom to 400% on an amount that matters and compare it with its neighbours. You are looking for a character that sits a fraction high or low, a digit in a slightly different weight, spacing that is tighter or looser than the column above, or a number whose decimal point does not align vertically with the rest. At normal zoom none of this is visible. At 400% an edited figure usually announces itself.
5. Check the numbers behave like real numbers
Real spending is messy. Fabricated spending is tidy, because a person inventing transactions rounds.
Count the amounts ending in .00. On a genuine current account statement they are a minority: salary, rent, transfers, standing orders. Card spending lands on arbitrary pence. If most rows are round, or if the same merchant charges the identical odd amount every week, something is being generated rather than recorded.
Also check the dates. Genuine statements have payments on weekends and public holidays, because card transactions do not stop. A statement where everything posts on business days has been written by someone thinking about business days.
6. Go around the document entirely
The five checks above interrogate a file. They cannot certify one, because a careful forgery passes all of them. For anything where the money is significant, verify through a channel the applicant does not control:
- Ask for a bank feed rather than a file. Open banking gives read-only access to the account for a few seconds and returns data straight from the bank. This is why lending has largely moved off documents.
- Ask the applicant to download the statement in front of you on their own device, from the bank’s app.
- Contact the bank. Most will confirm whether a document was issued, though not the contents, and getting through takes a while.
- Ask for a bank certificate instead, which is a signed letter from the bank confirming the account and balance. It is issued for exactly this purpose.
What analysis software actually does
Search “bank statement analysis software” and you get lenders’ tooling: it extracts transactions, categorises income and spending, calculates average balances and flags gambling or returned payments. That is underwriting, not authentication. It is useful and it is not the same thing.
Some of those products advertise fraud detection. What they detect is inconsistency: broken arithmetic, metadata that contradicts the content, fonts that do not match a known template for that bank. Useful signals, all of them, and none of them a verdict. A document that passes has not been proven genuine, it has failed to be proven fake.
Keep the distinction in mind when you are deciding how much to rely on a statement. The question is not whether this PDF looks right. It is how much money rides on it being right, and whether the answer justifies asking the bank.
